About the Opportunity

We are seeking an experienced and motivated Administration Team Leader to join our Parts & Services team. Reporting to the Service Administration Manager, you will lead and coordinate the daily activities of the administration function, ensuring accurate, timely, and efficient support to service and workshop operations.

This is an excellent opportunity for a strong people leader who thrives in a fast-paced operational environment and is passionate about delivering service excellence, developing teams, and driving continuous improvement. You will play a key role in supporting Work in Progress (WIP) management, invoicing accuracy, process compliance, and cross-functional collaboration across the business.

Responsibilities

  • Lead, coach, and support the administration team to achieve operational and customer service objectives.

  • Allocate workloads, manage priorities, and balance team capacity to meet business deadlines.

  • Develop team capability through training, mentoring, and performance support.

  • Oversee end-to-end job administration processes, ensuring accuracy, quality, and timeliness.

  • Support effective Work in Progress (WIP) management by monitoring job progress and identifying process bottlenecks.

  • Review job documentation, estimates, invoices, and supporting records to ensure compliance and accuracy.

  • Act as an escalation point for complex administrative and operational matters.

  • Support invoicing, service entries, warranty administration, and coordination with finance teams.

  • Maintain data integrity across ERP and business systems.

  • Collaborate closely with Service, Workshop, Finance, Supply Chain, and Customer Service teams to support operational success.

  • Promote a strong safety culture and ensure adherence to Sandvik policies, procedures, and values.

About You

To be successful in this role, you will bring:

  • Demonstrated experience in an administration role within a service, workshop, or operational environment.

  • Proven experience leading, coaching, or coordinating a team.

  • Experience working with ERP systems and service or job-based processes.

  • Strong understanding of WIP management, invoicing, and service administration processes.

  • Certificate or Diploma in Business Administration or a related discipline.

  • Excellent communication and stakeholder engagement skills.

  • Strong customer service focus and relationship-building capabilities.

  • Exceptional organisational skills with the ability to manage competing priorities.

  • High attention to detail and a disciplined approach to processes.

  • Strong problem-solving skills and a continuous improvement mindset.

  • Proficiency in Microsoft Office applications, including Excel, Word, and Outlook.
