Job purpose

As Facility Coordinator, you ensure that the Eindhoven warehouse facilities, building services and supporting infrastructure are reliable, well maintained and fit for purpose. You proactively coordinate maintenance, repairs and facility improvements, and make sure issues are resolved within the shortest reasonable timeframe.

You work closely with technical representatives, DHL’s Facility resources, the building owner, landlords and external contractors. You are the central point of contact for Facility matters and take ownership from the initial request through to completion. The role combines hands-on coordination with supplier and contract management, financial administration, small projects and continuous improvement.

Main responsibilities

Facility operations and maintenance

  • Proactively attend to all maintenance-related issues for the building and engage contractors to resolve issues within the shortest reasonable timeframe.

  • Coordinate maintenance, repairs and enhancements between technical representatives, landlords and third-party contractors.

  • Ensure all Planned Preventative Maintenance schedules are up to date and that any required remedial work is completed.

  • Act as the primary point of contact for Facility-related requests and operational issues.

  • Maintain clear records of maintenance activities, inspections, agreements and open actions.

Supplier and contract management

  • Liaise with third-party suppliers and contractors and monitor their performance against agreed Key Performance Indicators and Service Level Agreements.

  • Attend monthly supplier review meetings and follow up on agreed actions.

  • Ensure on-site contractors comply with Service Level Agreements, contractual agreements and Sandvik Environment, Health and Safety standards.

  • Periodically review current Facility contracts and initiate tenders, contract renewals or supplier changes when required.

  • Request and review quotations and support purchase orders, invoice follow-up and budget monitoring.

  • Drive continuous improvement in Facility services and contractor performance.

Stakeholder collaboration

  • Collaborate effectively with DHL’s Facility resources and ensure clear coordination of responsibilities.

  • Collaborate effectively with the building owner, technical representatives and external service providers.

  • Communicate planned maintenance, service interruptions, risks and Facility changes to relevant stakeholders.

  • Help ensure a reliable, efficient and professional working environment for employees, visitors and operational partners.

Facility projects and improvements

  • Run limited-scope Facility projects, for example renovations, workplace improvements and infrastructure upgrades.

  • Coordinate planning, contractors, costs, timelines and stakeholder communication for assigned projects.

  • Identify opportunities to improve service quality, cost efficiency, sustainability and ways of working.

Experience and competencies

  • A relevant vocational or higher professional qualification in Facility Management, building services, technical services or a related field, or equivalent practical experience.

  • Several years of experience in Facility Management, building management, technical services or a comparable operational role.

  • Experience coordinating contractors, suppliers and external service providers.

  • Experience managing service contracts, Service Level Agreements and supplier performance.

  • Basic finance experience, including budgets, quotations, purchase orders and invoice management.

  • Experience with continuous improvement in Facility services and Facility contractor performance.

  • Strong organizational, communication and stakeholder management skills.

  • A practical, proactive and solution-focused approach, with the ability to set priorities and follow actions through to completion.

  • Good competency in Microsoft Office applications.

  • Good proficiency in both Dutch and English, written and spoken.

  • Experience in a warehouse, logistics, industrial or technical environment is an advantage.
