We are now recruiting for a Parts & Service - Administration/System Support - for a permanent role in Portlaoise, Co.Laois.

Job Purpose

The Parts & Services – Admin-System Support will provide critical administrative, system and operational support to the Service Supervisor UK, the UK & Ireland Service Operations Manager as well as the UK EHS Manager. This role acts as a central coordination point across service administration, EHS support, warehouse activity and inventory management.You will proactively engage with service teams, customers, suppliers, finance personnel and internal stakeholders across the UK, Ireland and Europe to ensure smooth operational workflows and high service quality. The successful candidate will be responsible for maintaining accurate documentation, supporting EHS compliance activities, coordinating service scheduling & invoicing and helping to manage inventory and consignment stock both onsite and at customer locations.

This role plays a key part in supporting the efficient running of Parts and Service operations in UK and Ireland and aligning service requirements and demands from customer and technical teams with the support of the established organisation.

Main Responsibilities

EHS:

  • Promoting and enforcing compliance with EHS policies and procedures among UK service and maintenance teams.
  • Acting as a key liaison, the position ensures that safety standards are clearly understood, implemented, and maintained in daily operations
  • Safety compliance to drive a strong safety culture and consistent adherence to standards
  • Involves working closely with the stakeholders to address compliance gaps, assist in communicating new EHS strategies, initiatives, and targets to the service teams, and ensure clarity and adoption.
  • Support the coordination of EHS-related training for service technicians, monitoring certifications to ensure they remain current, and helping track compliance performance while escalating issues to the EHS Manager when necessary.
  • Occasional onsite support for EHS assessments or inspections may be required.

Administration:

  • Work closely with the Service Administration/System Support Supervisor based in Portlaoise and the AP/AR Finance Coordinator in the UK to ensure smooth operational processes.
  • Assist with service related administrative tasks, supporting system updates and data accuracy and facilitating communication between service operations and finance teams.
  • Play an integral part in maintaining workflow efficiency, ensuring timely processing of documentation, and contributing to accurate financial and service reporting.

Warehouse and Inventory:

  • During peak periods, this role will provide hands-on support within the Portlaoise facility to assist with warehouse operations.
  • Work closely with Administration / System Support Supervisor to manage inventory checks, handle incoming and outgoing goods, and ensure all related documentation is accurate and processed promptly.
  • Responsible for monitoring and coordinating P&S consignment stock levels at UK customer sites.
  • Ensuring stock accuracy, timely replenishment and compliance with agreed service standards.

Service Administration:

  • Responsible for managing a wide range of administrative and operational tasks to support the service department.
  • Processing customer invoicing, monthly contract invoices and internal warranty claims and processing purchase orders.
  • Liaise with the Service Supervisor to coordinate scheduling, maintaining the UK service planner and monitoring UK sales and email boxes.
  • Processing and logging timesheets, managing fleet data, handling customs paperwork and logging oil reports.
  • Responding to customer queries, preparing quotations and accurate documentation for all activities.
  • Other ad-hoc duties as requested by management.

Your Profile

You are a highly motivated & organised individual with exceptional communication, teamwork and interpersonal skills. You have a can-do attitude and thrive on working in a multi-cultural team environment. You are proficient in the MS Office suite and ERP system skills is desirable. Ability to take on and manage tasks and topics with a focus on developing the business and improving current practices and procedures within the organisaiton. You are educated to degree level or equivalent. A full clean driving license as travel may be required from time to time.
