Currently, we have an opening for a Field Service Administrator to join our team in Lively. The Field Service Administrator is responsible for providing administrative support to the service department, including data entry, report generation, customer correspondence, and participation in continuous improvement initiatives. This position plays an important role in the success of our business by working cross-functionally with different stakeholders to ensure that our service administration process is being executed efficiently and effectively.

What You Will Do
Open and maintain work orders for the service team, prepare and issue quotes, and assign system purchase orders to external service repairs.
Provide prompt responses to priority requests and proactively resolve issues with appropriate stakeholders.
Prepare weekly reports on work in progress, shipping documents, and customer billing, and follow up continuously with relevant parties to resolve issues or concerns.
Prepare and maintain documents, drawings, and specifications to be included with work orders.
Collect data and draft reports as required by the site.
Coordinate on-site service technician schedules as required by the client, and maintain daily service records.
Collaborate with cross-functional teams, including the accounts team, to ensure business success.
Open and close warranty work orders using various software tools.
Provide general administrative support, including accounts payable and receivable and data entry.
Create and maintain charts, spreadsheets, and order confirmations.
Participate in continuous improvement initiatives such as the rollout of new software systems.
Perform other assigned duties.

What You Will Bring
At least one (1) year of professional experience in an administrative role.
Postsecondary diploma in business administration or another relevant field is an asset.
Experience handling warranty claims and making decisions based on warranty policies is an asset.
Experience with ERP and asset management systems is a major asset.
Strong computer skills and knowledge of word processing, spreadsheets, and databases.
High attention to detail.
Strong organizational skills and ability to manage a high volume of records.
Excellent communication skills (oral and written) in English, and strong interpersonal skills.
Ability to work well under pressure.
