About the role: We are looking for an Executive Assistant to support the President of Sandvik Coromant Sales Area America and the Sales Area Management Team. This position is considered a key contributor to the Sales Area Management team providing not just administrative support but support in planning events and coordinating projects that impact the Sales Team in the Americas. We are looking for a candidate who can bring energy and organization to our team. This position will be eligible for a hybrid schedule both working in our office and from home.

Key responsibilities

  • Calendar Management and Meeting Logistics

    • Provides strategic calendar management based on business and executive needs

    • Uses discretion to make independent decisions to prioritize customer/partner meetings and urgent escalations

    • Exercises a sense of priority and awareness for high impact meetings and urgent business needs

    • Proactively adapts to shifting priorities

    • Responsible for the coordination of logistics, from flight and hotel arrangements to airport transfers, meals, and selection of appropriate vendors for team-building events or entertainment as well as timekeeping and administrating the meetings

    • development and planning of team agendas in preparation for management team meetings and work sessions. In sessions, you will be responsible for recording of minutes and actions planning. Further you will track and provide follow up for identified actions.

    • work with our global network of Executive Assistants to ensure that common ways of working, reflecting current best practices, are implemented and reliably followed

  • Office Support for Productivity Center in Mebane, NC

    • Provide support to managers and departments in arranging customer, employee, and VIP visits to our Productivity Center in Mebane, NC

    • Provide general support for office area including maintaining employee badges, checking in visitors, greeting visitors, etc.

    • Assist with managing vendor relationships related to the office (cleaning, plants, etc.)

  • Project and Work Group Coordination

    • Participate in various projects and committees to assist in ensuring progress on objectives and provide organizational support

    • Serve as the coordinator of the company’s Community Involvement Committee, including coordinating and suggesting events and serving as the Committee lead

    • You will provide project coordination for and participate on sales area project activities as well as gather information and track progress of actions due by the President and his staff. You will collaborate with our team to maintain a proactive approach towards achieving continual improvement in our efficiencies and operations. You will be a key user of selected, leading technologies and platforms for coordinating the group works, planning and collaboration within our SAA Management Team

Position Requirements

  • Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administrative work for executive/upper level management

  • Advanced skills in Microsoft Office Suite, Excel proficiency must include the ability to create formulas, pivot tables, and vlookup functions

Preferred Qualifications

  • BA/BS Degree or equivalent experience

  • Previous experience reviewing and managing administrative budgets (for events, travel, training, etc)

  • Experience planning and executing large and strategic events

  • Experience providing project management support and tracking deliverables and timetables
