Job Summary
Sandvik is seeking applications from motivated individuals for Administration Supportbased in Balikpapan – Kalimantan Timur.
This role plays a critical part in ensuring the smooth execution of service operations by providing comprehensive administrative support to the service team. The Admin Service position is responsible for maintaining accurate documentation, coordinating schedules, managing system data, and supporting parts inventory to enable efficient service delivery and excellent customer experience
MAIN RESPONSIBILITIES
Customer Support: handle inquiries related to service requests, warranties, and follow-ups, provide timely updates and resolve administrative issues.
Scheduling & Coordination: arrange service appointments and coordinate technician schedules, communicate with customers regarding service timelines and updates.
Service Documentation & Records: maintain accurate records of service jobs, work orders, and customer requests, ensure proper filing and documentation for compliance and audits.
System & Data Management: update service management systems with job status, customer details, and billing information, generate reports for service performance and KPIs.
Parts & Inventory Support: assist in ordering, tracking, and managing spare parts for service jobs, monitor stock levels and report shortages.
Compliance & Process Adherence: ensure all service processes follow company policies and safety standards, support internal audits and documentation reviews.
COLLABORATION WITH OTHER BUSINESS LINE
As the matrix organization you will be collaborating with many people within Sandvik in both global and SEA regions, including Business Line Managers and factories in Tampere and Alachua.
Direct report to Service & Workshop Superintendent / Service Manager and indirect report to CSSR Supervisor, Logistic Manager, and CSSR, Inventory & Pricing Manager in Balikpapan.
Coordinating closely with warehouse personnel to ensure accurate inventory handling and timely dispatch.
Collaboration with technicians to ensure timely resolution of technical issues and smooth coordination of service activities

Ensure EHS leadership is integrated into strategic planning, decision-making, and organizational objectives.
Provide adequate resources, policies, and systems to support EHS performance and continual improvement.
Foster a culture of accountability and continuous improvement across all levels to drive sustainable EHS performance.
Regularly review EHS performance metrics and lead improvement initiatives based on trends, audits, and incidents.
Ensure effective communication of EHS priorities and expectations to all employees, contractors, and stakeholders.
Demonstrate exemplary EHS behavior and ensure the organization complies with Sandvik global EHS Policy, ISO 14001/45001, and SMKP requirements.
Empower all employees to stop and report any work that appears unsafe or could cause harm, without fear of retaliation.
PREFERRED ENVIRONMENT & MOBILITY
Field - Any environment (Location Sandvik Sites / Projects ).
Willing to travel globally within Sandvik area and/or from site to site within country of Indonesia.
EXPERIENCE & QUALIFICATIONS
High school or equivalent experience. Bachelor’s degree in relevant field with having post-secondary education/training in business or supply chain discipline would be an advantage.
More than 1 year of experience in a Service environment, specifically in Admin Service, distribution, or other relevant roles
Proficient skill in English with written and verbal communication skills.
Proficient in using Microsoft office.
Strong attention to detail with organizes and time management skills.
Can-Do attitude.
Ability to travel regionally or stationed on site.
Prior exposure to ERP, WMS, TMS and EHS management systems (experience with Aurora and DI is an advantage)
