About the Opportunity
We are seeking a highly organised and customer-focused Workshop Job Administrator to join our Automation team. In this integral role, you will support service operations by delivering efficient administrative support, managing work-in-progress (WIP), and ensuring a high standard of service to both internal and external customers.
This is an excellent opportunity for an experienced administrator who thrives in a fast-paced environment, or for someone ready to take the next step in their career and enjoys working collaboratively across service, sales, and finance teams
Responsibilities
Deliver exceptional customer service and build strong working relationships
Manage Work-in-Progress (WIP) processes to support operational efficiency
Process job orders, including estimates, invoicing, and data entry
Raise and receipt purchase orders and coordinate parts ordering
Monitor and expedite outstanding orders to meet customer deadlines
Prepare dispatch and return documentation
Submit and manage warranty claims in line with company policies
Liaise with finance teams to resolve customer credit matters
Coordinate employee medicals and site inductions
Maintain safety KPI data and support compliance requirements
Generate quotations for repairs and supply orders
Provide administrative support for lifecycle contracts and reporting
Assist sales and service teams, including providing backup support when required
About you
You are a proactive and detail-oriented professional with a strong commitment to customer service and safety. You enjoy working both independently and as part of a team and can effectively manage competing priorities.
Essential:
Minimum 3 years’ experience in sales or service administration
Current “C” class driver’s licence
Strong attention to detail and organisational skills
Ability to work under pressure and meet deadlines
Excellent communication and interpersonal skills
Strong computer literacy, including Microsoft Office
Self-motivated with the ability to work autonomously
Desirable:
Experience with ERP systems
Understanding of customer business processes
Strong relationship-building capability within an industrial or service environment
