We are looking for a driven Office Administrator to manage the office operations for Sandvik Dubai. This position will be responsible for managing and coordinate a wide range of activities within Administration as well Marketing for the entity.

This position will report to the Finance Manager, Middle East and be based in Dubai, United Arab Emirates.

Your responsibilities

Your key responsibilities will include the following:

  • Overseeing daily office operations which includes the maintenance and upkeep of the office with a mission to create a positive experience for staff as well as internal and external visitors while ensuring a high level of hospitality and efficiency are maintained.
  • Ensuring visitors are briefed about office safety protocols and ensuring that high safety standards are maintained in the offices.
  • Managing office supplies and equipment and ensuring they are in working condition
  • Acting as a link between the Company and various vendors as well as managing Annual Maintenance Contracts
  • Acting as a liaison between the Company and the landlord for Company managed leases
  • Managing the time and attendance system and related reports
  • Managing relocations
  • Managing invoices and billing with suppliers.
  • Managing routine travel arrangements and reservations
  • Managing basic Environment, Health and Safety activities as well as organize First Aid, Fire Safety training and related courses with appropriate vendors
  • Providing additional ad-hoc administration support as required.
  • Supporting the sales dept with various tasks such as:
    • Supporting the marketing team with planning, implementing, and monitoring marketing campaigns
    • Assisting with the production of marketing materials
    • Helping organize and coordinate marketing events such as conferences, webinars, and trade shows
    • Writing and editing content for different platforms such as social media, website, and press releases
    • Provide administrative and project support for a variety of marketing programs

Your skills and qualifications

You possess at least 5 years of experience in a similar position.

You ensure adherence to The Sandvik Way and established policies and procedures within area of responsibility. You have an eye for detail.

Knowledge and experience working in a Mining and Construction industry are an advantage.

You must be able to build and maintain good relationships both internally and externally and have the ability to manage multiple requests and tasks with a positive attitude.

You must be able to maintain absolute confidentiality and discretion with regard to sensitive information.

Exceptional communication skills and proficiency in English both verbal and written are prerequisites for this role.

You are experienced working with a computer and have advance knowledge of Microsoft Office.

A University Degree Business Administration is desired.

You may be required to travel domestically.
